How to find and download HubSpot invoices

Open your HubSpot account name menu, choose Account & Billing, locate the vendor invoice, and download it; for a paid receipt use Transactions > Payments > Processed.

Step by step

Download the invoice from HubSpot

    Sign in to the HubSpot account that owns the subscription.

  2. 02

    Open the account-name menu in the upper-right corner and choose Account & Billing.

  3. 03

    Locate the invoice in the billing documents or invoice view.

  4. 04

    Open the invoice and choose the download option.

  5. 05

    For proof of payment, open Transactions, filter Payments to Processed, and choose View.

  6. 06

    Download the receipt PDF and store it with the related invoice.

Confirm the correct HubSpot account, ask an account-access user or billing admin for help, and search the billing contact's inbox if the contract uses invoicing terms.

Troubleshooting

Common retrieval problems

  • The user is viewing customer invoices created in Commerce Hub instead of HubSpot's own subscription invoices.
  • The wrong HubSpot account is selected.
  • The user can see an invoice but lacks the account permissions needed for a billing action.
  • A receipt is searched for before the invoice payment is processed.

Reconciliation

Match the invoice to a card or bank charge

  • Pair each paid invoice with the processed-payment receipt.
  • Match invoice number, total, and payment status before using the card date.
  • Treat contract invoice date and payment date as separate reconciliation fields.
