Download the invoice from Microsoft 365

Sign in to the Microsoft 365 admin center with a billing administrator account.

Open Billing → Bills & payments.

If several billing accounts exist, choose Change billing account and select the correct one.

Adjust the date range, select the invoice, and review its online details.

Choose Download → Download invoice to save the PDF.

Use the invoice and card statement together as proof of payment because Microsoft 365 does not issue separate payment receipts.

What to do if an invoice is missing
Change the date range and billing account, verify the tenant and billing role, and check the invoice-ready email. Contact Microsoft business billing support if the expected business-subscription invoice remains absent.
Troubleshooting
Common retrieval problems
- The user is signed in to the wrong Microsoft tenant or billing account.
- An admin role does not include the required billing permission.
- The user looks for a separate payment receipt that Microsoft 365 business subscriptions do not provide.
Reconciliation
Match the invoice to a card or bank charge
- Match billing account or profile, invoice number, billing period, currency, total, and card payment date.
- Review transaction types such as purchase, renew, quantity change, usage charge, and credit before classifying a variance.
