Download the invoice from Zendesk

Sign in to the Zendesk account as the account owner or a billing admin.

Open Admin Center from the Zendesk Products menu.

In the sidebar, select Account > Billing > Invoices.

Find and select the invoice number.

Review payment status and any payments, credit memos, refunds, or write-offs.

Choose Download PDF and save the invoice with related adjustment evidence.

What to do if an invoice is missing
Ask the account owner or a billing admin to retrieve it, verify the correct Zendesk account, and if the account was canceled have the account owner submit a request to Zendesk Customer Support.
Troubleshooting
Common retrieval problems
- An ordinary admin or agent is assumed to have billing-admin access.
- A canceled account no longer exposes invoice self-service.
- A partially paid or refunded invoice is matched using the original total rather than its transactions.
- The invoice recipient receives email but cannot manage invoices without the required role.
Reconciliation
Match the invoice to a card or bank charge
- Use invoice number, due date, and payment status as primary keys.
- Reconcile payments, credit memos, refunds, and write-offs to the remaining balance.
- Use the applied amount of each transaction instead of assuming the invoice total equals one bank movement.
